The problem: follow-ups fall through
Ayesha was asked for her passport three weeks ago. The request is buried in a thread, the tracking sheet is stale, and nobody has chased her since. Every firm knows this moment.
Add Ayesha, pick the checklist
Ten seconds: name, email, “Visitor visa” checklist. The checklist comes from your firm's own templates — the system never invents document items on its own.
The chase queue flags him
Passport and statements haven't arrived and the file has been idle for 6 days — so Ayesha appears under Needs chasing, in priority order, with one clear next action. No one has to remember.
A human approves the reminder
ClientChaser drafts a polite email listing exactly what's missing. Your staff reads it, clicks Approve, and sends from the firm's own address. Nothing goes to a client without a human OK.

Replies file themselves
Ayesha replies with “scan123.pdf”. The system reads the document's content, recognises bank statements, and ticks the right checklist item. Ugly filenames don't matter. She could also use her secure upload link — no logins, no portal.
Unclear? It waits for a human
One attachment can't be identified with confidence — so it lands in the review queue with a “what is this file?” prompt. Nothing is ever guessed onto the wrong client. A wrongly-filed passport is not a bug we're willing to have.
The owner sees everything
Weekly report and live dashboards: missing documents, stuck clients, aging invoices, staff workload — the whole firm's chasing status in one screen, with a full audit trail behind it.
Where it goes next not built yet
On the roadmap, shaped with founding firms — and we say plainly that these are not built yet: cash-collection dashboard, promise-to-pay and payment-plan tracking, escalation sequences, phone-call task queue, SMS reminders, accounting-software integrations, cash-flow forecasting.
